EUDR DDS template: what should you put in each field?

Is a DDS the right declaration for you?

This example is for an upstream operator preparing a due diligence statement. Eligible micro or small primary operators use a simplified declaration (SD) under Article 4a and Annex III instead. Downstream operators and traders do not submit a new DDS merely because they buy or resell a covered product. Check which role applies to the transaction before filling in the worksheet.

A worked DDS example: one wood lot, one production plot

Assume a fictional French upstream operator first places a lot of maritime pine logs on the EU market. It uses the standard DDS route. The example covers one product and one two-hectare plot. It illustrates the information in Annex II; it does not demonstrate that due diligence has actually been performed.

This example is not an executed declaration. Complete the attestation through the Information System.

For a non-cattle production plot over four hectares, Article 2(28) requires a polygon. Our two-hectare illustration uses a point with six decimal places. A real statement must cover every relevant production plot, not just one representative location. Check the Annex I product entry when adapting the example to different goods.

By submitting this due diligence statement the operator confirms that due diligence in accordance with Regulation (EU) 2023/1115 was carried out and that no or only a negligible risk was found that the relevant products do not comply with Article 3, point (a) or (b), of that Regulation.

Keep the evidence behind the fields

The worksheet separates submission data from the due diligence file. Supplier records, the production date or period, legality evidence, deforestation checks, risk assessment and any mitigation belong in that file. Filling every visible field does not replace the due diligence process behind the statement.

• Match the quantity to the goods covered, with the required units. For imports and exports, Annex II specifies net mass in kilograms and a supplementary unit where applicable.
• Check that all production locations are represented, including multiple countries or plots where relevant.
• Resolve conflicting supplier records and missing evidence before making the declaration.
• Record who reviewed the evidence and authorised the submission; keep the underlying records for the applicable retention period.

Leave the system-issued numbers blank until submission

Your internal lot reference can exist before submission. The Information System issues the DDS identifiers. Do not invent a DDS number or reuse the example lot ID in its place. Once the statement has been submitted, reconcile its reference and verification numbers with the correct product record and environment.

For practice, use the acceptance environment, whose submissions have no legal value. Never send the synthetic example to production.

Can I upload this template into TRACES?

No. This Excel workbook is a preparation aid. It is not a GeoJSON file, a SOAP request or a complete portal import format. Transfer verified information into the current Information System workflow. You can check a separate GeoJSON export locally before importing production locations. Any integration needs its own mapping and validation against the supported specification.
